Organize files by content with AI categories

The filename scan_001.pdf does not reveal whether the file is an invoice or a contract. With an AI category preset, RenameClick reads the content and suggests one of the categories you chose. If none fits, the file can stay uncategorized.

For predictable paths, use metadata folders built from date, EXIF, or text levels. Use Match Folders when the destination already contains the client or project folders you want to keep.

  • The built-in Documents and Media Files presets are view-only.
  • Custom categories can include descriptions to separate similar choices.
  • Metadata presets can combine multiple folder levels.
  • Match Folders chooses from the destination's existing top-level subfolders and does not create new ones.

Review suggested folders before moving files

Analysis creates suggestions; it does not change the files. In the results table, you can edit a name, deselect a row, and retry a failed file before applying.

If two categories overlap, make their descriptions more specific and rerun a small batch before using the preset with Auto Apply.

Use Auto Flow for files that arrive later

The Rename workspace handles the batch you add now. For files that arrive later, create an Auto Flow row with its own source, destination, and sorting preset. Auto Flow waits for a file to stop changing before it enters the queue.

  • With Auto Apply off, completed suggestions wait in Processed for review.
  • With Auto Apply on, successful suggestions are applied as files arrive.
  • Turn Watch off before using undo or redo.

FAQ

Can AI organize files into folders by content?

RenameClick reads the file and suggests one category from the selected preset. If none fits, the file can stay uncategorized. You decide which suggestions are applied.

Can I organize files without renaming them?

Yes. Categorize only keeps the original filenames and moves approved files into the suggested folders.

Can RenameClick use my existing folder structure?

Yes. Match Folders scans the selected destination's top-level subfolders and treats their names as the available choices. It does not create new folders.

What happens when no category is a good match?

AI Categories can leave the file uncategorized. In Match Folders, an unmatched file is placed at the output-folder root.

Does the AI file organizer work offline?

Offline organization is available with the Local provider after RenameClick Local AI is installed. Supported files are then analyzed on your computer and do not need to be uploaded.
